ROAR Classroom Privacy Policy
ROAR Classroom is a teacher-controlled classroom notes application from Notes Over Fields. This policy explains what information ROAR accesses, why it is needed, where classroom records are stored, and the choices users have.

Information ROAR accesses
When a user authorizes ROAR Classroom with Google, ROAR may access the Google account email address and the Google Drive, Google Sheets, and Google Docs data needed to provide features the user requests. ROAR uses Google permissions to identify the signed-in account, create and manage classroom spreadsheets, read and update classroom rosters and notes, create backups and reports, and perform teacher-requested file operations.
Google user data
ROAR Classroom may use the following Google OAuth permissions:
- Email address: to identify the signed-in Google account and determine the classroom records associated with that account.
- Google Drive file access: to create, open, update, and manage the specific ROAR files used with the app.
- Google Sheets: to create and maintain classroom spreadsheets containing roster, note, routing, attendance, calendar, and related classroom records.
- Google Docs: to create teacher-requested documents or reports when a ROAR feature requires them.
- External requests: to confirm the signed-in Google account is an authorized ROAR user and to check for application updates. This does not include sending classroom note content to external services as part of that check.
How Google user data is used
Google user data is used only to provide or improve user-facing ROAR Classroom functionality. Examples include locating a teacher's registered classroom, saving notes, maintaining routing and attendance information, creating backups, generating reports, and restoring or transferring classroom data when the user requests it.
ROAR Classroom does not use Google Workspace API data for advertising, data brokerage, credit decisions, or to develop, improve, or train generalized artificial intelligence or machine-learning models.
Where classroom data is stored
ROAR Classroom is designed so the teacher's core classroom records remain in Google Drive files owned or controlled by the teacher's Google account. Notes Over Fields does not require the contents of classroom notes to be copied into a separate Notes Over Fields database for the core note-recording workflow.
Notes Over Fields may maintain limited service information outside Google Drive, including an account email address, product-access status, authorization events, and operational or security logs needed to operate, secure, troubleshoot, and administer the service.
Sharing and disclosure
Notes Over Fields does not sell Google user data or classroom note content. We do not share Google user data with third parties for advertising, data brokerage, or unrelated commercial purposes.
If a teacher intentionally exports, downloads, copies, or sends ROAR content to another service, that action is controlled by the teacher and the receiving service's privacy terms apply. ROAR does not automatically send classroom notes to an external AI service.
Retention and deletion
Classroom files, backups, and reports stored in a user's Google Drive remain under that Google account's control until the user deletes them or Google removes them under its own policies. A user can revoke ROAR's Google permissions through their Google Account and can delete ROAR-created files from Google Drive.
Limited Notes Over Fields access, authorization, and security records are retained only as long as reasonably needed to operate, secure, troubleshoot, and administer the service or meet legal obligations. A user may request deletion of Notes Over Fields service records associated with their account by contacting us at the email address below.
Security
Notes Over Fields uses reasonable administrative and technical measures intended to protect the service and limit access to information. No internet service or storage system can be guaranteed to be completely secure.
Student information
ROAR Classroom is intended for use by authorized educators and other adults responsible for classroom records. Only the teacher or another authorized adult signs in to Google and grants ROAR its Google permissions; students do not create ROAR or Google accounts through the app, sign in to ROAR, or authorize ROAR's access themselves. Any student names or classroom records a teacher chooses to enter are stored in that teacher's own Google Drive as described above. Users and their schools or organizations remain responsible for determining whether and how ROAR may be used with student information under their own policies and applicable law, including FERPA and any school data-privacy agreements.
Google API Services User Data Policy
ROAR Classroom's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Changes to this policy
We may update this policy as ROAR Classroom changes. Material changes to how Google user data is handled will be reflected on this page before the changed practice is relied upon.
